Folio Exceptions

The Folio helps businesses track and manage exceptions in PMS (Property Management System) integrations.

Overview: This feature flags unusual activities such as no-shows, low rates, balance anomalies, potential chargebacks, and complimentary rooms.

How to Set up :

  1. Go to the Business > Data Integrations

  2. Select your PMS system (Hotel Key, Oracle Opera, Synxis, Choice Advantage).

  3. Enter the following details:

a. Username

b. Password

c. Custom URL (if applicable)

d. Start date – The date from which reports will start pulling.

e. Revenue mapping – Map revenue categories as needed.

  1. Save your configuration.

  2. Docyt will start fetching reports automatically from the start date.

2. Navigating Folio Exceptions:

  1. Go to the Business > Open Items > Folio Exceptions.

  1. Click on Issue Type tab.

  2. You will see a table with five exception types:

    a. No-show: User booked but did not check in.

    b. Low rate: Discrepancy between configured and charged rate.

    c. Folio balance anomaly: Outstanding amounts not cleared from the user.

    d. Potential chargeback: Payment authorized multiple times without a valid reason.

    e. Complimentary room: Room provided at no cost.

  3. Click on any exception row to view details.

  4. General Managers can :

a. Leave comments under each folio exception.

b. See which manager acknowledged the exception.

c. Track the status: Open or Acknowledged.

Ensure start date and revenue mapping are correctly set up to avoid missing data.
